Symptom

Occasionally you or others receive e-mails that seem to come from your domain. You did not send these emails. Another person used your mail sender or invented a new sender in your domain.

 

Solution

In principle, any sender and domain data can be transferred to mail servers. So you cannot prevent a domain or e-mail address from being misused by third parties. Criminals take advantage of this and send spam, phishing or ransom mail to any sender. Most of the time sending is automated by malicious software in other websites. It is technically impossible to prevent this.

However, there are procedures that enable a recipient to verify that the sending server is authorized to process mail on behalf of the domain. For example the Sender Policy Framework (SPF). If you register your domain name with Bitpalace, the domain always includes an SPF record, which identifies your server as authorized for the mailing.

Mails to your Bitpalace mail account that come from domains whose SPF record is missing or incorrect are rejected by our servers and will not delivered to you. But only some providers handle it that way. Many providers do not even check, or they flag mails by an invisible entry in the header that the SPF check failed. This flag is not really relevant. This makes it possible for criminals to easily forge senders and thus successfully send mail to the destination.
